Legacy data archiving & data conversion.
When systems sunset and organizations merge, decades of clinical and business records need to be accessible and converted correctly. We’ve done it all. We can help manage, convert data, validate data, and select the right partner for your organization.
The archive market is anything but uniform.
The legacy data archive market is always evolving. Understanding vendor experience and features is more important than ever.
Selection with skin in the game
We’ve managed archive selections and know the vendors’ real strengths — we’ve implemented Mediquant, driven Harmony Healthcare strategies, and implemented several other archive solutions, including exit records from Epic.
Convert what moves, archive what stays
Every application gets a decision: convert clinical data forward into the new EHR, archive it for retention-compliant access, or both. We build the roadmap application by application.
Validated, not just moved
Conversion without validation is how errors persist for years. Our projects include field-level validation, manual abstraction where automation can’t reach, and legacy-to-current mapping so clinicians can navigate.
We’ve made these decisions on real projects.
Archive selection & Mediquant implementation
For a three-hospital academic medical center: ran the selection process, implemented Mediquant, and launched the conversion roadmap spanning 40+ clinical applications.
Harmony Healthcare archive strategy — twice
Drove the selection of a top-tier legacy archive strategy with Harmony Healthcare on a $100M Epic project — and negotiated blood bank system and legacy data conversions to Harmony on a three-hospital acquisition go-live.
Mainframe retirement
Converted a Healthquest mainframe registration system to a .NET/SQL Legacy Data Access platform — cutover, testing, and go-live managed end to end.
Clinical data conversion with validation
Managed Community Connect–to–foundation clinical conversions with steering committee governance, field-level validation, manual abstraction, post–go-live conversion, and legacy-to-current mapping for providers.
Patient identity at scale
Implemented IBM InfoSphere as the enterprise EMPI source of truth with Epic — converting millions of patient records in the process.
Exit records, done twice
Managed Epic exit-records projects at two organizations leaving Community Connect — legal medical record requirements confirmed, records created and ingested into the new Epic on time.
From roadmap to retired system.
Application-portfolio roadmap
Every legacy application dispositioned: convert, archive, or both — with retention obligations, cost, and clinical need weighed per system.
Vendor selection & negotiation
Requirements, evaluation, and contract negotiation for the archive platform — including data conversion scope the vendors would rather not commit to.
Conversion & validation delivery
Clinical and registration data conversion, exit records, EMPI record conversion, and the validation and abstraction that make the data trustworthy on arrival.
Sunset & decommission
Cutover, read-only transition, license termination, and the audit trail proving retention compliance after the lights go off.
Every system you retire is money back — if the data lands safely.
Bring us your application list. We’ll tell you what to convert, what to archive, and what it should cost.
